The Community Outreach Events Coordinator will primarily work in logistics and marketing for ALS Network’s portfolio of Signature Events in Southern California, including but not limited to peer-to-peer endurance events (walk-related event/activity, formerly the Greater Los Angeles Walk to Defeat ALS, to be referred to as “LA Walk” throughout this document), and the SoCal Ride & Rally to Cure ALS (“SoCal Ride”).
This person will assist with events marketing and communications efforts, event production, volunteer recruitment and management, constituent outreach, and some fundraising.
The Coordinator will also support ALS Network’s Community Outreach Department as needed and directed in the areas of gala, research summit, and departmental administrative assistance.
The employee will primarily work from the Woodland Hills office in Los Angeles County with limited hybrid opportunities.
It requires some evening and weekend work, local travel, and occasional overnight travel.
*ESSENTIAL JOB RESPONSIBILITIES* *FUNDRAISING AND MARKETING:* ● Assist with marketing efforts for LA Walk, SoCal Ride, and other applicable endurance events, including email construction and deployment, participant mailings, event print materials, correspondence, social media outlets, and press releases.
● Support participants with all website related matters, currently utilizing Blackbaud Luminate software.
● Outreach to teams, as assigned and directed, with coaching and check-in calls.
● Coordinate the planning of regional event kickoff and thank-you receptions.
● Promote organization events at tabling opportunities throughout the community, and equip and train volunteers to do so.
● Compile and produce weekly fundraising and participation reports.
*LOGISTICS PLANNING:* ● Responsible for all approval elements; obtaining permits or written approvals from all involved jurisdictions and city officials, and making route adjustments as necessary to achieve said approvals.
● Work with supervisors on all site planning for rest stops and festival sites.
● Negotiate with and secure event vendors and ensure timely billing/payment.
● Maintain all elements of event production with a strong focus on health and safety.
● Provide on-site event management to ensure satisfactory outcomes.
● Solicit in-kind donations to meet food, beverage, and opportunity drawing needs for event day.
● Work closely with vendors to order and distribute all fundraising incentives and print materials.
● Manage design and printing of invitations, signage, banners, and other event related materials.
● Identify methods to minimize expenses.
● Recruit, train, and manage volunteers.
● Manage inventory for events and order supplies when necessary.
*OTHER RESPONSIBILITIES:* ● Provide assistance to volunteers and other ALS Network staff in support of various third-party fundraising and awareness events in the region.
● Assist with additional third-party peer-to-peer efforts that fall under endurance-related events.
● Assist other ALS Network staff in support of Distinguished Events such as Champions for Cures and Care.
● Assist other ALS Network staff in support of the CA ALS Research Summit.
● Collaborate with colleagues to produce accurate and timely event reporting as directed.
● Collaborate very closely and cohesively with others in the Care Services and Development departments to support and grow ALS Network’s effectiveness in fundraising, engagement and mission activities.
● Coordinate and attend ALS Network departmental and event-specific meetings and create meeting minutes as directed.
● Other duties as assigned and directed in service to the mission and function of ALS Network *JOB REQUIREMENTS:* ● Commitment to accuracy, efficiency, and follow-through.
● Ability to plan, prioritize multiple projects/duties when faced with interruptions, fluctuating workload, and conflicting deadlines and complete them in a timely manner.
● Strong organizational skills with proven ability in scheduling and coordinating logistics for meetings, special events, and mailings.
● Proficiency using Google Workspace and Microsoft Office Suite.
● Excellent writing and editing skills, including the ability to prepare and proofread clear, concise, and grammatically correct business correspondence.
● Team player who enjoys interaction with professionals, peers, volunteers, and those served by the organization.
High degree of initiative, self-motivation, and resourcefulness.
● Ability to maintain a high level of confidentiality and use tact and diplomacy.
● Insured driver with access to a vehicle, as occasional road travel will be required.
● Ability to lift 25 pounds and work occasional evenings/weekends.
*DESIRED BACKGROUND/SKILLS/KNOWLEDGE:* ● Bachelor’s degree.
● At least one year of experience in non-profit events and/or meeting planning, ideally in ride, run, walk and/or related peer-to-peer fundraising events.
● Experience with event production and management, volunteer management, public relations, and donor cultivation.
● Excellent verbal and written communication skills, including strong organizational and interpersonal abilities.
● Demonstrated project management skills, including facility in managing and prioritizing projects with multiple and often competing deadlines, and ability to work under pressure.
● Demonstrated proficiency with a variety of Windows programs such as Microsoft Word, Excel, and PowerPoint especially with a strong understanding of spreadsheet software, especially Excel, Google Sheets, and/or Numbers.
● Knowledge of design software, i.
e.
Canva, Adobe InDesign, Photoshop, Illustrator, and/or Microsoft Visio considered a plus.
● Ability to manage large numbers of volunteers at different levels of experience.
● Ability to work independently as well as part of a team in a fast-paced, deadline-oriented environment.
● Must effectively respond to constantly changing priorities and proactively resolve problems/conflicts as they arise; the ability to “think on one’s feet” is critical.
● Must exercise good judgment in prioritization and know when to seek input from supervisor.
● Strong follow-up and follow-through.
● Able to maintain a high level of integrity and confidentiality in working with sensitive records and information.
● Ability to train on and use a donor database (currently Raiser’s Edge NXT).
*TRAVEL* * Must have reliable transportation with valid driver's license and auto insurance.
