We are looking for an exceptionally detailed, organized, and professional Estate Manager and Executive Assistant in one.
The perfect candidate is someone who can perform a variety of duties such as managing the property, collaborating with household staff, and ensuring all construction projects are on schedule.
The ideal candidate should have excellent oral and written communication skills as well as superb organizational skills with G-Suite.
We are searching for the type of person that possesses a strong sense of urgency, enjoys a fast paced work load, and has strong interpersonal skills.
They don’t wait for solutions to be spelled out - they are resourceful and creative.
HOW YOU’LL SPEND YOUR TIME:
Estate Management
Supervising and directing daily operations of the estate, ensuring all runs smoothly
Coordinating with household staff and maintaining a harmonious environment
Handling administrative tasks, including budgeting, scheduling, and inventory management
Managing vendors including Landscapers, Pool Techs, Pest Control, Cleaners, Security, HVAC, Plumbing, Electrical, Roofing, Handymen, Internet, Waste Management and others
Overseeing construction projects from conception to completion, ensuring they stay within budget and on schedule
Coordinating with architects, interior designers, and contractors
Inspecting and reviewing projects to monitor compliance with building and safety regulations
Ensuring regular maintenance and upkeep of properties including vendor and staff coordination, recruitment, and training
Developing and implementing protocols for emergency situations
Regularly reporting progress and updates to upper management
Executive Assistant
High level scheduling and calendar management
Organizing and booking of business domestic and international travel, including preparation of detailed itineraries along with the foresight to think through all logistical details
Project managing ongoing and special tasks and ensuring work gets done and deadlines are met
Managing and initiating communication with internal and external stakeholders
Liaising and coordinating with various departments and external business contacts with discretion and confidentiality
Coordinating public outings, events, and private/personal scheduling
Anticipating and preparing for meeting needs; taking and retaining of meeting notes
Completing personal errands as needed and assisting with beauty/fashion recommendations
WHAT YOU HAVE:
At least 5 years of experience as executive assistant, high-end estate management, and construction project management
Proven track record of managing luxury properties and overseeing construction projects
Exceptional organizational, leadership, and multitasking skills
Strong interpersonal skills, with the ability to interface with various departments and levels of management
Flexibility in working hours and availability for emergencies
