Job Title: Development and Database Coordinator

ZOE International is seeking a highly organized and detail-oriented individual to support the Development Team and manage Virtuous, the donor management system used by the organization.
This position collaborates closely with the Development Director and is responsible for overseeing data structure, supervision, data retrieval, report customization and analysis, policies & procedures, security, and data entry quality control.
Additionally, the role encompasses various department functions including donor relations and events, stewardship, individual, foundation, and corporate fundraising, publications, online and direct mail outreach, as well as providing assistance to the President, COO, and other leaders.
The Development and Database Coordinator plays a pivotal systems role in all these areas, working collaboratively with the entire Development team to ensure the success of ZOE International.
Database Responsibilities:
Database Management and Integrity:
Manage and maintain data integrity of ZOE’s Virtuous donor relationship management software, including data audits and updating mailing lists
Ensure highly accurate and current donor data, including key information, cultivation activities, bounce, histories, and solicitation calendars.
Reporting and Analysis:
Generate monthly, quarterly, and ad hoc reports for the Development and/or Executive team.
Create and analyze Virtuous donor dashboard reports for the Development Department and major gift solicitors.
Track and provide timely reports on emails and SMS texts sent to donors, including email opens, clicks, conversions.
Support and Training:
Provide training and support to staff on database use and best practices.
Collaboration and Strategy:
Collaborate with the Development team to identify and implement donor acquisition, retention, and stewardship strategies.
Professional Development:
Stay informed about trends and best practices in nonprofit database management and fundraising.
Other Responsibilities:
Work effectively as a member of multiple project teams.
Follow a strict code of confidentiality.
Development Coordinator Responsibilities:
Donor Communications and Fundraising Support:
Collaborate with the team to cultivate new donors, as well as steward mid-level donors, to increase their engagement and support
Coordinate production schedule for donor communications, including newsletters, email appeals, impact reports, thank-you letters and donor gifts.
Create landing pages in WordPress to support fundraising campaigns.
Create emails (design headers/graphics) in Virtuous to include A/B testing while utilizing email best practices
Manage and oversee global impact numbers for all countries
Campaign Monitoring and Support:
Monitor and analyze campaign performance using analytics tools to optimize strategies and achieve KPIs.
Assist in the planning and execution of fundraising campaigns and events.
Prospect Research and Support:
Assist in researching and identifying prospective new donors.
Proactively initiate sponsorship and funding opportunities.
Proposal and Report Assistance:
Assist in writing case for support documents, proposals, and donor follow-up reports.
Design USA Quarterly Report in Canva
Project Management and Administrative Support:
Work directly with management and development team to manage project workflow and oversee day-to-day milestones.
Provide administrative support to the development team, including scheduling meetings and maintaining records.
Oversee email interest list from events/conference ZOE attends and input new contact information into database.
Represent ZOE in the community at tabling events.
Qualifications:
Bachelor's degree in nonprofit management, communications, or related field.
Minimum of 2 years of experience at a nonprofit organization or ministry
Experience in establishing and institutionalizing donor database best practices
Proficiency in donor database software (Virtuous preferred) or CRM systems, email marketing platforms, analytics tools, Microsoft Office Suite, Adobe Creative Suite, Canva and WordPress
Experience project and budget management a plus
Strong attention to detail and organizational skills
Excellent written and verbal communication skills
Ability to work independently and as part of a team in a fast-paced environment

Requirements:
Advanced knowledge of Excel and Google Sheets
Experience with QuickBooks and audit compliance preferred
Physical requirements: sit for long periods of time, stand, lift up to 25lbs
Must be available for full-time work in Newhall, CA
Occasionally travel to other offices for meetings, audits or trainings
Must be legally eligible for employment in the United States
