Responsibilities:
As the Executive Assistant to the CEO, you will play a critical role in ensuring the smooth operation of our office and the success of both businesses.
Your responsibilities will include but are not limited to:
Executive Support:
Act as the CEO's primary point of contact, managing and prioritizing communication and correspondence.
Coordinate the CEO's calendar, schedule appointments, and assist with time management.
Assist in research and preparation of documents and reports for meetings and presentations.
Oversee email management and ensure timely responses.
Help with marketing activities, including social media updates and event coordination.
Administrative Support:
Maintain a well-organized office environment and handle general office management tasks.
Manage and maintain important documents and files, ensuring data confidentiality.
Assist with bookkeeping tasks using QuickBooks, including accounts receivable and accounts payable.
Oversee HR-related functions, including assisting with hiring, onboarding, and managing employee records.
Act as a liaison between the CEO and internal/external stakeholders.
Handle receptionist duties, such as greeting visitors and answering phone calls.
Business-specific Support:
For one business, assist in scheduling and coordination of essential activities.
For the other business, oversee various aspects of daily operations.
Maintain a comprehensive understanding of both businesses to provide effective support.
Qualifications:
Proven experience as an Executive Assistant or similar role, preferably supporting senior executives.
Strong bookkeeping and financial management skills, including expertise in QuickBooks.
Proficiency in using office software (e.
g.
, MS Office, Google Workspace) and accounting software.
Exceptional organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Strong problem-solving and decision-making capabilities.
Previous experience in office management is a plus.
Ability to adapt to a dynamic work environment.
