Coordinator for Division of Finance and Administration School/Department: Office of the SVP and Chief Financial Officer Reports To: Associate Vice President of Finance and Administration, Operations & Projects Time: Full-Time Appointment: Regular Job Posted: 02/06/2024 Information & Responsibilities SUMMARY Reports directly to the Associate Vice President of Finance and Administration (AVPFA), Operations & Projects.
Supports the development, implementation, monitoring, interpretation, and analysis of CalArts’ annual and multi-year operating budgets, forecasting, long range planning and the making of recommendations on resource allocations.
Manages administrative tasks and special projects for the CFO.
Requirements ESSENTIAL JOB FUNCTIONS: FINANCE: Manage the Division of Finance and Administration operating budget including but not limited to processing divisional invoices, evaluating, and forecasting annual budget to actuals and making recommendations for savings.
Assist the AVPFA with analyzing monthly project accounting reports.
Evaluates and monitors monthly departmental financial stewardship by analyzing department and/or school spending against approved budgets.
Coordinates the annual operating budget process by providing budget templates, collecting, and aggregating data, and synthesizing information.
Develops materials for presentations/campus distribution and workshops.
Provides project management for various Finance & Administration initiatives.
ADMINISTRATIVE COORDINATION Manages administrative tasks for the Senior Vice President of Finance and Administration (SVPFA), CFO including the oversight of an active and complex schedule; expense reports; travel arrangements, and preparation of agendas; and documents for meetings.
Responsible for providing administrative management for the office of the CFO.
Ensures clear and concise communications between the CFO's office and internal and external constituents; demonstrating leadership to maintain credibility, trust.
Partners closely and effectively with the CFO to ensure they are informed of relevant matters critical to the success of the division and provides follow-up on related matters as appropriate.
Prioritizes the needs of the CFO and the division expeditiously, proactively, and guides projects to successful completion in a timely manner to meet deadlines.
Other duties as assigned.
RISK MANAGEMENT Partners with the SVPFA and AVPFA of Operations with the F&A division’s contribution to the leadership, development, implementation, and management of a newly developing enterprise risk management program at CalArts.
Collaborates with the SVPFA and AVPFA of Operations with the annual insurance renewal.
Qualifications SKILLS/ABILITIES: Demonstrated attention to detail, quality, accuracy, financial acumen, and data integrity and ability to develop complex and accurate financial models.
Use discretion and uphold the confidentiality of sensitive financial information, facilitating collaboration institute wide.
Strong analytical and organizational skills, excellent written, verbal communication and interpersonal skills.
Intermediate-to-advanced technology skills required to utilize and assess various technology solutions.
Experience with project management and the ability to manage and analyze multiple projects.
Excellent customer service skills and ability to work cooperatively with diverse audiences.
EDUCATION AND EXPERIENCE: Bachelor's degree in Accounting, Business Administration, Finance, or another business-related field preferred.
Demonstrated ability to use reporting and analysis to identify opportunities for efficiency and/or improvements, and the ability to work independently and with a team.
Excellent Excel skills and experience with Microsoft Office and Google Suite required.
Experience in higher education preferred.
